Refund policy
How AS Code handles cancellations, refunds, and credits for paid services.
Last updated: 3 October 2026
This refund policy explains how AS Code (“we”, “us”) approaches refunds for IT services, digital marketing, consultancy, and related offerings sold to business clients in the United Kingdom, Europe, and other agreed markets.
Your signed proposal, statement of work, or master agreement may include specific refund or cancellation terms. Where those terms differ, the signed contract prevails for that engagement.
1. Overview
Most of our work is bespoke professional services. Once delivery has started, fees typically cover time, specialist resources, and third-party costs already committed on your behalf.
We aim to be fair and transparent. This policy sets out default expectations; individual projects may define milestone-based billing, retainers, or non-refundable deposits in writing.
2. Deposits and kick-off fees
- Deposits or kick-off fees stated in your quote are generally non-refundable once we allocate team capacity or incur third-party costs.
- If you cancel before work begins and no costs have been incurred, we may refund the deposit in full or apply it to a rescheduled start date within 90 days, at our discretion.
3. Milestone and fixed-price projects
Fixed-price and milestone engagements are invoiced per the schedule in your statement of work.
- Completed and accepted milestones are non-refundable.
- If you terminate early, you pay for work performed, work in progress, and non-recoverable third-party costs up to the termination date.
- If we fail to deliver an agreed milestone materially as specified, we will remedy at no extra charge or agree a fair credit against future invoices where remedy is not possible.
4. Retainers and subscriptions
- Monthly retainers (marketing, support, managed services) are billed in advance unless otherwise agreed.
- You may cancel a retainer with 30 days’ written notice before the next billing cycle. Fees for the current period are not refunded pro rata unless required by law or explicitly stated in your contract.
- Unused hours or credits may expire per the retainer terms in your agreement.
5. Consultancy, visa, and employment services
Consultancy, visa support, and employment programme fees often cover document review, coordination, and professional time. Government fees, courier charges, and third-party assessments are pass-through costs and are non-refundable once paid to authorities or partners.
If an application is refused for reasons outside our control, service fees are not automatically refunded. We will explain options for resubmission or additional support under a new scope.
6. Advertising and media spend
Ad platform spend (Google, Meta, LinkedIn, etc.) belongs to you or your ad account. We do not refund media budgets managed by platforms—refund requests must be directed to the platform where applicable.
Our management fees follow the retainer or project terms above and are separate from media spend.
7. Consumer cooling-off
If you are a consumer (not acting in the course of business), you may have statutory cancellation rights for distance contracts. Business-to-business clients generally do not have a 14-day cooling-off period for custom services once delivery has started with your agreement.
Contact us if you believe consumer regulations apply to your purchase.
8. How to request a refund or credit
- Email ascodeuk@gmail.com with your company name, invoice reference, and reason for the request.
- We acknowledge requests within five UK business days and aim to resolve eligible cases within 20 UK business days.
- Approved refunds are returned to the original payment method where possible, or applied as account credit if agreed.
9. Chargebacks and disputes
Please contact us before initiating a card chargeback so we can investigate. Unfounded chargebacks may lead to suspension of services and recovery of reasonable administrative costs permitted by law.
10. Changes
We may update this policy periodically. The “Last updated” date will change. Material changes will be posted on this page.
